Emergency PPE Order? Use This 7-Step Checklist Before You Call Magid Glove & Safety

I've coordinated emergency safety-supply orders for manufacturing plants, warehouses, and construction crews for over a decade. 1. Write Down the Real Deadline

In March 2024, a plant safety manager called me at 3 p.m. on a Thursday. He needed 120 pairs of leather gloves before a Monday morning audit. Normal lead time? Five days. His 'deadline' actually meant 'Wednesday if you count the weekend.' We made it, but only because we stopped talking about 'prepare an order' and started talking about 'what time will the receiving dock be open.'

Checkpoint: Who loses money if it's late? Then ask them: 'If I can't make it, what's the fallback?' That answer tells you how hard to push and which steps you can skip.

2. Make a Hazard List, Not a Shopping List

I get it: 'leather gloves' is a lot easier to type than 'heat-resistant leather gloves with ANSI A2 cut resistance for metal handling.' But the easier the request, the longer the response.

Instead of saying 'we need gloves and signs,' list the task and the environment:

  • Gloves: What are the hands touching? Abrasive? Hot? Sharp? Does the worker need grip in oil or water?
  • Signs: Where is the fire extinguisher sign going? Indoors, outdoors, near a machine? How far away will someone be reading it?

The same word 'leather gloves' can mean a $4 general-purpose pair or a $25 welding pair. If you don't know the hazard, you can't make that call. This is also where a good supplier earns their keep. When you call a manufacturer, they'll ask these questions. Let them.

3. Check Compliance and the 'Is It Legal' Question

I'm not a Texas attorney, and I can't speak to every municipal ordinance. What I can tell you from a procurement perspective is this: check first, order second. A rush order doesn't excuse non-compliance.

For PPE, OSHA expects the equipment to match the hazard. That means checking cut levels, impact protection, and any relevant ANSI/ISEA standards. The phrase 'it's strong' doesn't count.

And if you're considering pepper spray for a security team or on-site safety kit, the question 'is pepper spray legal in Texas' comes up a lot (especially when someone's trying to build a security kit quickly). Generally, yes: Texas permits adults to carry pepper spray for self-defense. But legal details—canister size, where it can be carried, facility-specific rules, and how it's used—matter. Before ordering in bulk, confirm the current rules with an attorney or local law enforcement. This is one of those steps people skip in a rush, and it's exactly the step that can create a legal problem later.

4. Call the Manufacturer, Not Just the Reseller

When I'm triaging a rush order, I don't want a sales portal. I want to talk to someone who knows what's in production. That's why I now only rely on manufacturers with in-house production for true emergencies. Magid Glove & Safety Manufacturing is one of the names on that short list.

Ask three direct questions:

  1. Is this item currently in stock?
  2. If not, when is the next production run?
  3. Is this produced in your factory or drop-shipped by a third party?

If you get 'we'll have to check' on all three, keep moving. A reseller can apologize later, but a manufacturer who owns the production floor can tell you whether a product actually exists in finished goods.

5. Fix Your Specs, Especially for Printed Signs

This is the step that seems too boring to save time—but it's often the difference between a sign that ships today and one that gets stuck in pre-press late Tuesday. For a custom fire extinguisher sign with your company logo, send print-ready files.

Here's the standard nobody tells you about: commercial print resolution should be 300 DPI at final size. A 3000×2000-pixel image at 300 DPI prints 10×6.67 inches. That's fine for a standard 10×7 sign. If you need a 20×14 sign, your file needs to be 6000×4200 pixels, or you need vector art. A screenshot of a logo won't work.

For color, use Pantone numbers. According to Pantone's Color Bridge guide, Pantone 286 C converts to approximately C:100 M:66 Y:0 K:2 in CMYK. But the printed result may vary by substrate and press calibration. If brand color is critical, ask for a physical proof.

I've learned this the hard way. Once, I approved a rush sign order with a low-res JPEG because the client said 'any sign will do.' The logo came back chopped. A 10-minute spec call would have fixed it.

6. Add a Transport Buffer

Rush shipping premiums are real. Based on major freight and print provider fee structures in early 2025, next-business-day service usually runs 50–100% over standard; 2–3 business-day service runs 25–50% over standard; same-day is rare and often 100–200% higher if it's available. That's not a reason to overpay without asking. It's a reason to ask for options.

Also ask whether a partial shipment is possible. If you need 100 pairs of leather gloves and 500 signs, maybe the gloves go overnight and the signs come by regular freight. Splitting an order can save real money while still hitting the deadline.

And add a buffer. If the supplier says 'two days,' plan for three. A missed weather window can turn a delivery from 'on time' to 'useless' (I know this from personal experience).

7. Inspect Before Someone Stocks It

A rush order isn't complete when the box arrives. It's complete when someone opens the box and verifies it. I've seen a carton label say XL while the actual gloves were M. If receiving just puts it on the shelf, you'll find out later, at the worst possible time.

Within two hours of delivery, check:

  • Correct SKU, size, and quantity
  • No visual defects or signs of damage
  • Printed signs: colors, dimensions, and text match the product proof

If something is off, call the supplier immediately. The same rush premium that got it there might also get the replacement out before the weekend.

The Mistakes That Keep Showing Up

Three things repeat across almost every failed rush order I see:

  1. Ordering before the hazard is defined. Beautiful gloves are useless if they aren't rated for the job.
  2. Assuming compliance. A vendor is selling products; they aren't managing your facility's legal obligations. For pepper spray, especially in Texas, check before you buy.
  3. Waiting one more day. I know the impulse: 'Let's see if we can avoid the rush fee.' One of my biggest regrets was agreeing to save $200 on standard shipping. The delay cost the customer a failed inspection. We paid triple for overnight and still barely made it.

This checklist is for emergencies. If you're buying PPE as part of a rolling program, take the time to build the full process. But when the deadline is real, use the time you have to make the right call. That's what an emergency specialist does.
